Data Protection

Course content, learner records, and institute administration all live on The Academix. Here’s what that data is, where it’s stored, and the controls around who can reach it. For the broader picture on infrastructure and role-based access, see our Security & Compliance page.

What Data Lives on the Platform

Educational content sits in one centralized library — textbooks, lecture notes, documents, PDFs, videos, and presentations — organized by course and subject. Learner activity is recorded alongside it: attendance patterns, assignment submissions, and assessment attempts across practice tests, mock tests, and real exams.

Institutes also hold administrative data on the platform — staff and tutor roles, branch structures, and the permissions assigned to each. Each of these categories exists because a specific feature depends on it: content storage for course delivery, activity records for analytics and reporting, and role data for access control. For the full picture of how this information is used and shared, see our Privacy Policy.

How It’s Protected

Controls are applied at the data layer, not bolted on as an afterthought.

Encryption At Rest and In Transit

Data is encrypted using industry-standard protocols both while stored and while moving between the platform and your browser. The connection between the application and its database is encrypted too, and access to the underlying cloud services is limited to dedicated service accounts.

Granular Role Permissions

Institutes define exactly which actions a role can take on data — see, add, edit, or delete — rather than granting one-size-fits-all access to staff and tutors.

Branch-Level Isolation

In multi-branch institutes, each branch reaches only the materials tied to its own courses and operations, with staff access levels definable per branch.

Access Expiry and Revocation

Course materials can be given an access expiry window, and institutes can disconnect a former student's access to content entirely without disrupting current learners.

Where Data Lives

Structured records — course rosters, attendance, and assessment scores — sit in a MySQL database on DigitalOcean’s managed database service in Bengaluru, India. Files — lecture videos, notes, and PDFs — are stored on Cloudflare R2 and delivered over Cloudflare’s network, with a backup copy of uploaded files on Amazon S3 in the United States. In-app chat and discussion messages are held in Google Firebase (Cloud Firestore).

Built for Resilience

We don’t publish a specific recovery-time figure here — what we can say is that your data does not live on a single machine: the database, file storage and delivery are managed services from DigitalOcean, Cloudflare and AWS, uploaded files have a backup copy with a second provider, and none of it is a machine under someone’s desk.

The Legal Details

The controls on this page are backed by our Data Processing Agreement and Privacy Policy, which set out how personal data is processed on your institution’s behalf and the rights available to institutions and learners.
