Online Test Series Platform for Coaching Institutes: What to Look For

A good online test series platform for a coaching institute does five things well. It holds your own questions by chapter and topic, sets papers with your exam's marking scheme, runs each test in a fixed window, publishes results with rank and chapter-wise accuracy, and lets students practise between tests. If a product is weak on any of these, a polished student app will not save the test series.
This guide is for owners and academic heads of NEET, JEE, foundation and government-exam coaching institutes moving a Sunday test series online or replacing test series software that has not worked. It gives the questions to ask, a demo checklist, and a plain account of what The Academix does and does not do.
Why do coaching institutes move their test series online?
A paper test series costs more than printing. Teachers check OMR sheets over the weekend, someone types marks into Excel, and the rank list reaches the notice board by Wednesday, after the batch has moved on. The institute ends up with a total for each student and no record of which chapters the whole batch keeps getting wrong.
Moving online fixes the slow parts. Objective questions are marked the moment the test closes, rank and percentile appear when results are released, and every attempt is stored question by question. It cannot fix a thin question bank or a schedule nobody follows, which is why the checks below start with your questions, not the app.
Can you use your own questions, and how fast can you load them?
Most institutes already own years of papers in Word files, printed booklets and a senior teacher's Excel sheet. A platform that only offers its own ready-made bank leaves those behind, and your test series ends up looking like everyone else's. Ask how your questions get in:
- Bulk import from Excel using a sample sheet, with duplicates flagged before anything is saved
- Single questions typed in, including a picture of the question for diagrams and structures
- Questions pulled out of a scanned or PDF paper, and whether a teacher reviews them before saving
- Filing by subject, chapter and topic with a difficulty level, so tests and reports share one structure
- A second-language version of the same question, if you run Hindi-medium or bilingual batches
Then check question types against your exams. NEET papers are single-answer MCQs. JEE Main adds numerical answers, and JEE Advanced also uses multiple-correct and matching questions. If the software cannot hold a type your exam uses, someone will be patching it by hand every week.
Does it handle NEET and JEE marking correctly?
Negative marking is where cheap test series software goes wrong. NEET awards +4 for a correct answer and takes 1 mark off for a wrong one. JEE Advanced mixes schemes inside one paper, with partial marks on some multiple-correct questions. The platform should let you set marks and negative marks for each question, not one rule for the whole test, and award partial marks where your exam does.
The simplest test in a demo: give the vendor one of your real papers and three answer sheets you have already marked by hand. Ask them to set the paper up and enter the answers. If the totals do not match yours, you have your answer.
How should each test be scheduled and run?
A test series works because it is regular and every student sits the same paper under the same conditions. Look for these controls:
- Each test set for a fixed date, start time and duration
- The paper closes when the time runs out and submits the attempt on its own
- Students can sit it in the app or a browser, so a shared family phone is enough
- Results released when the test closes or held back until you choose
- A separate practice mode, so revision does not change anyone's rank
- Questions used in a scored test kept out of practice until you release them
Be realistic about cheating. No browser test stops a determined student at home from opening a book. If it matters a lot, run the main test in your centre and keep online tests for practice and missed papers.
What should students and teachers see after each test?
A total score tells a student how a test went, not why. After each test, both sides should be able to see:
- Rank and percentile, with a clear statement of who the student is compared against
- Accuracy by subject, chapter and topic
- Marks lost to wrong answers, separate from marks left on the table by skipped questions
- Time spent on each question, so a teacher can see which problems eat the paper
- A teacher view of which questions most of the batch got wrong
That last view changes Monday's class. If seventy per cent of a batch got the same rotational motion question wrong, the problem is the teaching of that topic, not seventy separate students.
A checklist to take into a demo
- Our questions: can we import our Excel sheet and one scanned paper during the demo?
- Marking: does a real paper of ours score the same as our hand-marked answer sheets?
- Question types: can it hold every type our exams use?
- Schedule: does the test open and close on time without a staff member watching it?
- Results: who is rank compared against, and can we hold results back?
- Practice: can students revise from the bank without seeing next Sunday's questions?
- Parents: can parents see results without a separate app?
- Price: what is capped (students, tests, storage) and what happens at the cap?
What does a test series platform cost?
Pricing is usually per student, per batch, or a monthly plan with caps on students, tests and storage. Ask what happens when you cross a cap mid-session and what renewal will cost. For The Academix, plans start from ₹1,500/month; the final price is quoted to your requirements, and your quote lists what's included.
How does The Academix run a test series?
The Academix question bank files questions by course, subject and topic, with topics grouped into chapters and an Easy, Medium or Hard level on each. Questions are typed in, imported from Excel, or extracted by AI from an uploaded paper for a teacher to review. Each question carries its own marks and negative marks, and a full paper can be built as a pooled assessment with rules by topic for question type, difficulty, count, marks, partial marks and negative marks.
Scored tests run in a fixed window from the app or a browser and submit when time runs out. Results break down by subject, topic and question, with rank and percentile among classmates who took the same test, time per question, Compare Yourself, My Analytics across all tests and PDF reports. If the parent portal is switched on, parents see the same results in a read-only view.
What it does not do: there is no assertion-reason question type and no numeric-range answer, so numerical questions use a fixed answer. There is no tab-switch lock during tests. Rank is within your institute, not all-India.
Frequently asked questions
Can students take the test series on their phones?
Yes. Students sit tests in The Academix app on Android or iOS, or in a browser. The practice quiz builder, where a student makes their own revision quiz, is on the student web portal only.
Does The Academix give an all-India rank?
No. Rank and percentile are worked out among the classmates who took the same test at your institute. That is a fair comparison for a batch, but it is not an all-India figure, and we do not present it as one.
Can we load our old papers without retyping them?
Yes. Import questions in bulk from the sample Excel sheet, or upload a PDF, JPG or PNG of a paper and AI extracts the questions, options and answers as editable cards. Nothing is saved until a teacher has checked the cards, and AI extraction has a daily usage limit per institute.
Can parents see test results?
Yes, if the institute switches on the parent portal at parents.theacademix.com. Parents see results with the subject-wise breakdown in a read-only web view, and a summary email arrives every Sunday.
