Academix Run Live Batches Online

Move a Scheduled Batch Online Without Losing the Classroom

A live batch has a fixed time, a roster and a tutor who needs to know who showed up. None of that goes away when the class moves online. Set up a virtual classroom on the timetable you already teach: same students, same schedule, joined over video instead of walking through a door.

Tutor teaching a live batch in a virtual classroom

A live batch is created inside a classroom tied to a course and a branch, with a roster of enrolled students and an assigned tutor in place before the first session. That doesn't change when the batch moves online. The only difference is that showing up means joining a video session instead of walking into a room.

Scheduling supports real recurrence. A batch can repeat daily, weekly, every alternate week, every second or third week, on custom weekdays or monthly, with an end date for the series. A tutor teaching the same batch every Tuesday and Thursday sets the pattern once. A classroom can also be linked to an event that already exists on Google Calendar.

The tutor assigned to the batch is still the tutor, and the roster is still the enrolled students; a scheduled class never becomes an open drop-in. How the video call itself connects is covered on the Online Live Classes Integration page.

1

Set Up the Classroom Before the First Session

Create a virtual classroom for a course and branch, add the enrolled students and the assigned tutor, and attach the subjects being taught. Students join with an institute-issued class code. The Virtual Classrooms page covers the setup in detail.

2

Run Sessions on Google Meet or BigBlueButton

The classroom lives in The Academix; the session runs on Google Meet or your own BigBlueButton server. A teacher connects Google once, and each scheduled Meet class gets its link on the teacher's Google Calendar automatically.

3

Reschedule Without Re-Coordinating Everything

Batches move for holidays, tutor conflicts and exam clashes. Reschedule a session directly instead of cancelling it and recreating the next one, so one change doesn't break the batch's rhythm.

4

Know Who Was There

A live session doesn't track itself. The teacher marks attendance for the online session on web or mobile, and in-room students can scan the class QR code in the app, so a mixed batch still ends up with one attendance record. The Dynamic Attendance page covers the details.

How a Live Batch Gets Set Up

1

Build the Classroom Before the First Session

Create the batch inside a classroom for that course and branch. Add the enrolled students, assign the tutor and attach the subjects before scheduling the first session.

2

Set the Recurring Pattern to Match Your Timetable

Choose how the batch repeats (daily, weekly, alternate or every second or third week, custom weekdays, or monthly) with an end date for the series.

3

Students Join With One Institute-Issued Code

The class code ties back to the classroom, so students join the same way for every session in the series.

4

Reschedule a Session Without Breaking the Batch

Moving a session keeps the same class record, roster and class code. For Google Meet classes, the new time also updates the event on the teacher's Google Calendar and its invites.

5

Mark Attendance for the Session

Joining the call doesn't mark anyone present. The teacher marks attendance on web or mobile, and students in the room can scan the class QR code, all against the same session.
