Student Performance Report Format and Template for Coaching Institutes

A student performance report for a coaching institute should show who the student is, the score and rank on the latest test, the weakest chapter and its accuracy, time per question, attendance, and a status with one line from the teacher. Fifteen columns cover it. Below is each field, the format, and an Excel and CSV template you can download.
This page is for coaching institute owners and directors who report progress to parents, and for teachers who prepare those reports. The template needs no sign-up.
What fields should a student performance report have?
Group the fields by the question each one answers. A parent reading it should find the answer to "how is my child doing, and what happens next" within ten seconds.
Identity and context
- Student name, batch and the test or period the report covers. Without the period, a report cannot be compared with the next one.
The score
- Marks obtained and maximum marks. Record net marks, after negative marking, so the figure matches the real exam.
- Rank in batch: the student's position among those who attempted the same test.
- Percentile: the share of the batch the student scored above. Use it next to rank, because rank alone shifts with batch size.
What to study next
- Weakest chapter and chapter accuracy: correct answers as a share of attempted questions in that chapter. This is the most useful field for the student.
- Average time per question. A student who is accurate but slow has a different problem from one who is fast and careless.
Commitment and status
- Attendance percentage: classes attended as a share of classes held.
- Tests attempted against tests held. Skipped tests are often the first sign of a student slipping.
- Status: On Track, Needs Attention or High Risk. Decide your own rule once and apply it to every student the same way.
- Teacher remarks: one line that names the next step, such as "revise Chapter Y before Friday's test".
What does the student performance report format look like?
One row per student per test, one column per field. That is easy to sort by rank, filter by batch and total at the end of the month. The table below shows the layout with sample values; the download has the same columns.
How do you fill in the template?
- Download the Excel file and delete the three rows marked Sample before you start.
- Enter one row per student after each test, using the net marks from your marking sheet.
- Sort by marks to fill in rank, then work out percentile as the share of students below each score.
- Take chapter accuracy and time per question from your test paper analysis. If you do not have them, leave those columns empty rather than guessing.
- Set the status from a simple rule you can explain to a parent, for example attendance and the last two tests together.
- Send each parent only their own child's row, as a PDF or a printed page.
When does a spreadsheet stop being enough?
A spreadsheet works for one batch and one teacher. It struggles once you have several batches: ranks must be recalculated by hand, chapter accuracy needs the answer sheet of every student, and nobody updates attendance until the report is due. That is when the same fields should come from the test itself.
In The Academix, coaching institute management software, every test produces rank and percentile within the class, chapter and topic accuracy and time per question, with a PDF report students and teachers can download. Attendance is marked by the teacher on web or mobile, or by students scanning the class QR code, and each student carries an On Track, Needs Attention or High Risk tag built from score, attendance, test participation, lecture completion and recent activity. Parents see attendance, results and charts on a read-only web portal. The Academix keeps no fee records. Plans start from ₹1,500/month; the final price is quoted to your requirements.
Frequently asked questions
What should a student performance report include?
Identity and context (name, batch, test or period), the score (marks obtained, maximum marks, rank, percentile), what to study next (weakest chapter, chapter accuracy, time per question), commitment (attendance, tests attempted) and a status with a teacher remark. Keep it to one page.
How often should a coaching institute send performance reports?
Send a short report after every major test and a fuller one each month. Parents act on a report they get while the test is still fresh. A report that arrives once a term mostly arrives too late to change anything.
What is the difference between rank and percentile?
Rank is the student's position among those who sat the test: 3rd of 60. Percentile is the share of the batch the student scored above. Rank changes with batch size; percentile lets you compare a small batch with a large one.
Can The Academix produce these reports automatically?
Yes. After each test, students and teachers see rank, percentile, chapter and topic accuracy and time per question, and a PDF report can be downloaded. Attendance and the On Track, Needs Attention and High Risk tags sit alongside. The Excel file on this page is for institutes that still keep records by hand.
