Coaching Institute App: A 15-Point Checklist Before You Choose One

A good coaching institute app runs live classes, protects recorded lectures, conducts tests in your exam's format, shows results students can act on, records attendance and keeps parents informed, all on a budget Android phone. Before choosing one, check the 15 points below, including whose name students will see in the app store.
This checklist is for coaching institute owners comparing apps for NEET, JEE, board, CA, banking or skills batches. Each point says what to ask and why it matters. Take it into every vendor demo and ask to see the answer on screen, not on a slide.
What does a coaching institute app actually need to do?
Students use it every day, so it is where they judge your institute. They expect to join class, watch what they missed, take the weekly test and see how they did, without asking anyone for a link. Teachers need to run class and set tests without calling the office. Owners need to see which batches and students are slipping. Parents need to see attendance and results without phoning the front desk.
An app that does only one of these pushes the rest back onto WhatsApp groups, spreadsheets and phone calls. That is what you are trying to replace.
What are the 15 points to check before you choose?
- 1. Live classes: which video tool runs them, and is the class link created for the teacher or pasted in by hand every time?
- 2. Recorded lectures: are videos streamed encrypted to signed-in, enrolled students only, and will the vendor tell you plainly what that does not stop, such as someone filming the screen?
- 3. Offline viewing: can students download lectures for low-data days, on which phones, and are the downloads encrypted and removed at logout?
- 4. Tests in your exam's format: section-wise marking, negative marking and the question types your exam uses
- 5. Question bank: chapters, tags and difficulty, Excel bulk upload, and help turning your existing papers into questions
- 6. Results students can act on: rank, percentile, chapter accuracy and time per question, not just a total score
- 7. Attendance: who marks it, how long it takes per class, and whether it feeds into reports without retyping
- 8. Notices and alerts: do new tests, notices and assignments reach students' phones instantly as push notifications?
- 9. Parent access: what parents can see, whether they need to install anything, and who controls what is shown
- 10. Early warning: does the app flag students whose scores, attendance or activity are falling, before the result comes out?
- 11. Roles: what students, teachers, staff and owners each see, and which of them use the app versus a web panel
- 12. Branding: is it your own store listing or a shared app that shows your name and logo after sign-in, and who maintains it?
- 13. Low-end phones: install it on a three-year-old Android phone on mobile data and try a lecture and a test
- 14. Data and exit: can you export students, questions and results if you leave?
- 15. Price in writing: a written quote listing every feature you need, student limits, storage and what happens when you grow
Should you have your own branded app or a shared app?
Many owners start by asking for an app with their institute's name on the Play Store listing. It is worth knowing what that involves. A separate app needs its own developer accounts, store review for every update, and someone to fix it when Android or iOS changes. If the vendor builds one per institute, ask who pays for that work and how quickly security fixes reach your copy.
A shared app works differently. Every institute's students install the same app and sign in, and the app then shows their own institute's name, logo, classes and tests. Updates reach everyone at once, and there is nothing for you to publish. The trade-off is that the store listing carries the platform's name, not yours.
The Academix uses the shared model. Students install The Academix from Google Play or the App Store, sign in with the account your institute set up, and see your branding inside the app. A separately branded Android app on Google Play can be discussed; on iPhone, students use The Academix app. If having your own store listing matters more than cost and upkeep, compare the build-versus-buy trade-offs before you decide.
How do you test an app properly before you sign?
- Give the vendor one of your real question papers and ask them to set it up as a test with your marking scheme
- Sign in as a student on your own phone, not the vendor's laptop, and take that test
- Look at the result screen as the student, then as the teacher, and check that the chapter breakdown makes sense
- Ask to see the parent view and the settings that control it
- Ask what is not supported. A vendor who cannot name a single limit has not been asked carefully enough
How does The Academix app measure against this checklist?
Live classes run on Google Meet, with the link created on the teacher's calendar once they connect Google, or on your own BigBlueButton server. Recorded lectures stream as AES-128 encrypted adaptive video at 480p, 720p or 1080p, with the key issued only to signed-in, enrolled students. That is encryption, which stops casual link sharing; it does not stop someone filming a screen. On Android, the institute can allow encrypted offline downloads, which are removed at logout.
Tests support negative marking, a question bank with chapters, tags and difficulty, Excel bulk upload, and AI extraction of questions from an uploaded paper, which a teacher reviews before saving. Results show rank and percentile within the class or test, chapter and topic accuracy, and time per question. Attendance is marked by the teacher on web or mobile, or by students scanning the class QR code. Notices, assessments and assignments reach students instantly by push, email and in-app.
Parents use a read-only web portal with a Sunday summary email; there is no parent app to install. Early-warning tags mark students as On Track, Needs Attention or High Risk, with daily alert emails to chosen staff. The app covers students, tutors and owners on Android and iOS; office staff use the web panel.
What it does not do: there is no separate store listing under your name, no fee records or fee reminders, and no offline video on iPhone yet. Plans start from ₹1,500/month; the final price is quoted to your requirements, and your quote lists what is included.
Frequently asked questions
Can we publish The Academix app under our institute's name?
No. Students install the shared app called The Academix from Google Play or the App Store and sign in with the account your institute created. After sign-in the app shows your institute's name and logo. There is no separate store listing under your name, and nothing for you to publish or update.
Does the app work on iPhone as well as Android?
Yes, The Academix app is on Android and iOS. Encrypted offline lecture downloads are Android only, and only where the institute has switched downloads on. Logging out removes them.
Can our office staff use the mobile app?
Not today. Staff work in the web panel, where roles and permissions control what each person can see and change. Students, tutors and institute owners use the mobile app.
Which plan includes the mobile app?
Plans start from ₹1,500/month; the final price is quoted to your requirements. Your quote lists what is included, so ask for the app, live classes and anything else you need to be named in writing.
